Refund & Cancellation Policy

We design every Passage Pioneer journey by hand, often blocking inventory months in advance with suppliers around the world. This policy explains how cancellations and refunds work — both when life intervenes for you, and when circumstances force a change from our side.

1. Before payment

No deposit is taken until you approve your itinerary in writing. Up to that point, you may walk away at no cost or obligation.

2. Cancellation by the traveler (after deposit)

Each component of your trip is bound by the relevant supplier's terms. As a guide, the following Passage Pioneer service-fee schedule applies in addition to supplier charges:

  • More than 60 days before departure: full refund of the Passage Pioneer service fee. Supplier deposits may be non-refundable.
  • 30 – 60 days before departure: 50% of the service fee is retained.
  • Less than 30 days before departure: the service fee is non-refundable. Supplier cancellation charges (typically 50 – 100%) will apply.
  • No-shows: non-refundable.

Your exact cancellation schedule is set out in the booking confirmation we send you, and supersedes the general guidance above.

3. Changes by the traveler

Minor changes (room category, an added city night) are usually free if requested more than 30 days out. Major changes (dates, party size, primary destination) are treated as a cancellation of the original booking and a re-booking under current availability.

4. Cancellation by Passage Pioneer or supplier

If we cancel your trip for any reason other than force-majeure, you will receive a full refund of all amounts paid to us. If a supplier cancels, we will pursue a refund on your behalf and offer the closest reasonable alternative.

5. Force majeure

Force majeure includes natural disasters, war, epidemics, government travel restrictions, and other events outside reasonable control. In such cases we will refund whatever the underlying suppliers refund to us, less an administrative fee of 5% of the trip cost. We strongly recommend comprehensive travel insurance that includes force-majeure cover.

6. Refund processing

Approved refunds are processed within 10 – 15 business days to the original payment method. International transfers may take additional time depending on your bank.

7. How to request a cancellation or refund

Write to reservations@passagepioneer.com with your booking reference. We will acknowledge within one business day and confirm the applicable charges and refund timing within five business days.
